Job Description
POSITION GENERAL SUMMARY
The Administrative/Operations Officer will oversee and manage administrative functions within the Corporate Branding Unit, Corporate Communications Division, ensuring seamless and efficient execution of all administrative tasks in collaboration with relevant stakeholders.
ESSENTIAL POSITION FUNCTIONS
Supporting Brand Execution and Brand Strategy Program Coordination
- Coordinate and manage invitations to internal and external stakeholders for programs organized by the company.
- Maintain, review, and update the invitation Master List
- Assist and Support Brand Execution and Brand Governance programs in ensuring activities are planned, organized, and executed effectively.
- Assist with the preparation, organization, and filing of reports, presentations and other communication materials.
Corporate Souvenir Management
- Manage and procure souvenir inventory within the approved budget, ensuring stock aligns with SOP.
- Monitor and maintain accurate inventory records in the system and conduct quarterly inspections to verify stock levels and storage conditions.
- Implement safeguards to secure storage and efficient handling of all souvenirs.
Business Card Management System
- Manage business card requests efficiently, coordinating with system providers and vendors for timely delivery.
- Oversee the procurement process, ensuring compliance and timely contract management.
- Corporate Communications Donation and Sponsorship Management
- Coordinate the donation approval and payment processes with the Finance and Procurement Divisions, adhering to Donation and Sponsorship Guidelines.
- Maintain a comprehensive donation tracking list and organize all related documents for accessibility and compliance.
Administration Support
- Perform general administrative duties including photocopying, mailing, filing, and distributing collateral.
- Support procurement and finance processes, assisting with budget and finance issues in coordination with the SAP CCD Team.
- Execute procurement and finance processes including budget monitoring and coordinating with the CCDSAP for any related issues.
Others
- Execute any other projects as directed by CCD management.
- Perform other duties on an ad-hoc basis as assigned by the Corporate Branding Team Member.

- Managing souvenir and business card system, performing administration processes with accuracy and efficiency.
Skills
- Good written and verbal communication skills in Bahasa Malaysia and English
- Good interpersonal Skill with a positive attitude.
- Strong organizational and multitasking skills.
- Experience in handling administrative tasks with efficiency.
- Knowledge of procurement and inventory management processes.
- Good in computer applications, including:
- Microsoft Office (Word, Excel, PowerPoint).
- Basic data management and reporting tools.
Education
- Diploma preferably in Mass Communications/ Business Administration
