Job Description

POSITION GENERAL SUMMARY


Assist in the coordination of logistics, administration, training, and standards of CEM Malaysia Airports to achieve a standardized and efficient service culture enhancement at terminals.

 

ESSENTIAL POSITION FUNCTIONS

 

Training Administration

  • Update and maintain accurate employee training records in SAP, including training attendance and qualifications achieved.
  • Obtain nominations for training.
  • Coordinate with HRBP on training programs for CEM (e.g., schedules, venues, etc.).


Procurement & Logistics Coordination

  • Responsible for maintaining a record of all outstanding purchase orders with external vendors.
  • Arrange and monitor services for all orders to ensure material is delivered as per schedule.
  • Expedite all critical orders with local subcontract vendors.


Standards Monitoring

  • Obtain and update the latest communication details from various agencies, airlines, and other organizations for CEM's operational use (e.g., emails, telephone numbers, fax numbers, PICs, etc.).


Office Administration

  • Personnel Management:
    • Record, compile, and send all staff-related matters (e.g., staff leaves, staff claims) to the HR Division.
  • Administration:
    • Prepare reports, presentations, memorandums, proposals, and correspondence.
    • Assist in the preparation of department budgets and expenses.
    • Ensure all invoices from various operations activities are recorded and sent to the Finance Division to be processed for timely payment.
    • Assist in procurement activities (e.g., Purchase Requisition, Goods Received).
  • Record Management:
    • Assist in the compilation, recording, and management of the department’s documents for record purposes and easy retrieval.
      Prepare minutes of meetings whenever directed.


Others

  • Ensure that all office equipment and CEM-related logistics are ready for use at all times by ensuring sufficient supplies (e.g., toner cartridges, stationery, etc.).
  • Assist new staff with workstation setups, security passes, etc.
  • Execute other related directives from the superior.

Relevant Industries

  • Diploma Holder with 2–3 years of experience in Aviation/Airport Operation Management, Business Administration, Supply Chain/Logistics Management, Human Resource Management are highly encouraged to apply.
  • Fresh graduates with a strong desire to learn and a relevant Diploma are also highly encouraged to apply.

Education

  • Diploma in any discipline; however, specialization in Aviation/Airport Operation Management, Business Administration, Supply Chain/Logistics Management, Human Resource Management is highly preferred.
  • Grade Requirement: Minimum CGPA of 2.80 or equivalent.
