Job Description
POSITION GENERAL SUMMARY
Execute and ensure all matters related to administration of personnel and facilities in Corporate Office in obtaining the corporate image.
ESSENTIAL POSITION FUNCTIONS
Front Office.
- Ensure all front office staff is well trained.
- Ensure that customer services are delivered as per company standard and portray the corporate image of the company.
Uniforms.
- Compile and analyse information with regards to the uniforms needs from all division and subsidiaries in order to prepare approval paper.
- Manage record and inventory of uniforms that required be ordering from vendors and delivering to stakeholders.
- Communicate to vendors and stakeholder on status of uniform readiness from time to time to ensure the smooth running of the uniform delivery.
Meeting rooms and other facilities.
- Manage and ensure all meeting room are well arranged; update in the reservation system and ready to be used at all time.
- Ensure other facilities i.e projectors; telephones etc is ready and well manage to be used and delivered.
- To ensure office space or partition are ready for new staff.
Fleet management.
- To monitor road tax and insurance for all company vehicles in corporate office are renew accordingly.
- Ensure the transit services are ready at all time to cater staff requirement.
- Monitor all company vehicle in Corporate Office are sent for service as per schedule.
- Manage the usage of petrol card (smart pay); touch n go in ensuring its ready and available to be used at all times.
- Manage the application to use company vehicle and drivers to ensure no double request and smooth running of overall transit; drivers and company vehicle operations.
Printing matters.
- Ensure printing room are well manage and met customer expectation.
- Ensure Photostat machine are sufficient for corporate office staff usage.
Travelling and accommodation.
- Ensure all travelling and accommodation request are manage according to company policy.
Budget.
- Involve in yearly budget preparation and monitor all approved budget are being utilised wisely.
Key Challenges
- To ensure all issues to be resolved in timely manner.
- To achieve all HR(ER) projects and initiatives as per schedule.
Skills
- Good communication, interpersonal and consultative skill.
- Great team player.
- Good writing skill both in Bahasa and English.
- Good supervisory skills.
Education
External
- Degree preferably with specialization in Human Resource/Human Development or Business Administration
Relevant Industries
External
- Degree with a minimum of 3 years relevant experience
